Description

 **Remote - Must Reside and Work from Virginia** 


VFN’s Executive Assistant reports to the CEO and manages the administrative activities of the organization, including assisting in the maintenance of VFN’s master calendar and Salesforce database. Assists with the logistics of dozens of virtual and in-person meetings and events each year (including the state-wide annual conference), oversees the administrative aspects of the annual membership and fundraising campaigns, and works closely with staff to provide support.  


Executive Support

Provide administrative assistance to the CEO and Advisory Board to include;

  • drafting communications on behalf of the CEO
  • preparing agendas and materials for Advisory Board and committee meetings
  • taking meeting minutes for the Advisory Board and committee meetings
  • perform minor accounting duties including monitoring budget expenses 

Scheduling and Event Support

Manage and maintain the VFN master calendar and support the CEO and Director of Member Engagement and Learning with scheduling and logistical arrangements for events, meetings, and programs throughout the year to include:

  • using doodle polls to find convenient dates for speakers and volunteer leaders and sending calendar invitations
  • setting up zoom events, webinars, and registration pages
  • managing and tracking registrations in Zoom and Eventbrite and input in Salesforce (and other event-tracking platforms) and producing rosters for staff and speakers
  • sending event registration reminders
  • tracking and recording of registrations, sponsorships, surveys and evaluations of VFN’s Annual Conference (in person) and Annual Meeting (virtual).

Membership Administration

  • Tracks member information in Salesforce and Mailchimp and provides timely reports. 
  • Performs data entry and tracking of member information using Salesforce. 
  • Creates and executes reports of member information in Salesforce. 
  • Prepares and sends annual membership campaign notifications.

Communications

  • Create and manage VFN’s various email listservs.

  • A good writer, who takes minutes in meetings and maintains the VFN’s official record
  • A self-starter, who is adept at working remotely and accomplishing tasks in a timely manner
  • A team player, who understands that on a small team operating virtually, everyone needs to pull together to meet the ever-evolving demands of a vibrant member-serving nonprofit. 

Physical Requirements

  • Ability to function in a standard office setting. 

Work Environment

  • Remote - Must Reside and Work from Virginia
  • Predominately work from home.
