POSITION: Sr. Executive Assistant

SALARY: $30.37 - $41.04, per hour DOE

REPORTS TO: Executive Director of Health Clinics

LOCATION: Colville Tribal Health Care Authority,Ā Hybrid position (reservation wide)

Basic Functions:Ā The Senior Executive Assistant provides high-level administrative and operational support the Chief Executive Officer (CEO) of the Colville Tribal Health Care Authority. This hybrid position requires flexibility to support the CEO across multiple clinical sites reservation wide, as well as at the administrative office.Ā  The Senior Executive Assistant will be expected to adapt to changing priorities and provide support wherever staff or leadership needs are greatest.

Qualifications

MINIMUM QUALIFICATIONS:

Education and Training:Ā 

  • Typically requires an AA degree and 5 years progressively responsible Executive Assistant, management and administrative work experience.Ā 
  • Requires a valid driver’s license and be eligible for the Tribes’ vehicle insurance and maintain throughout employment.

Knowledge, Skills, and Abilities:Ā 

  • Requires advanced knowledge of the Tribes’ policies and procedures and the Administrative structure and procedures.
  • Requires working knowledge of Tribal enterprise and government, department operations, policies, procedures, and calendars.
  • Requires advanced working knowledge of, and skill at using personal computer based software programs that support this level of work, including but not limited to word processing, spreadsheet, basic presentation graphics, special applications used by the organization unit, and data entry onto custom databases.
  • Requires advanced knowledge or practices, principles and techniques associated with accounting, office administration and records management to assist administration with timely submission of all financial and administrative reports.Ā 
  • Requires advanced knowledge and experience that reflects exceptional administrative assistance skills in maintaining schedules, drafting correspondence and preparing presentation materials.Ā 
  • Requires skill working under pressure in a fast paced and sometimes stressful environment.
  • Requires advanced knowledge of tribal and federal agencies’ contracting processes, purchasing, administrative processes, accounting principles and procedures as well as budget planning and maintenance experience.
  • Requires advanced knowledge in the use of general office equipment (copier, fax, calculator, etc.), especially demonstrated advanced skill with software such as Microsoft Office Suite, Outlook and Internet. Ā 
  • Requires advanced knowledge of proper English usage, grammar, spelling, and punctuation to prepare professional correspondence.
  • Requires advanced knowledge of Tribal government and organization unit services, operations, programs, functions, special terminology used in day-to-day operations, and to relieve others of a variety of administrative details.
  • Requires advanced math skills to perform financial and statistical record keeping.
  • Requires human relations skill to work productively and cooperatively with diverse teams, exercise patience when dealing with internal and external customers, and convey technical concepts.
  • Requires the ability to exercise initiative and independently perform all of the duties of the position with minimal supervision to accomplish tasks in a timely manner. Ā 
  • Requires the ability to schedule and accurately take and transcribe meeting notes and maintain a record.
  • Requires the ability to prepare spreadsheets, graphs and charts, and enter, import, and export data to and from databases.
  • Requires the ability to plan, organize and prioritize work in order to meet schedules and timelines.
  • Requires the ability to communicate with management, staff, and the community using patience and courtesy, and in a manner that reflects positively on the organization unit.
  • Requires the ability to perform all of the duties of the position in a high volume environment that may be dominated by distractions.Ā 
  • Must be able to perform clerical and secretarial work with speed and accuracy.Ā 
  • Requires the ability to understand and apply Tribal and agency rules, regulations and policies.Ā 
  • Requires the ability to plan, prioritize and organize events and carry out events, projects and activities in order to meet schedules and timelines.Ā 
  • Requires the ability to maintain timekeeping, prepare computer generated timesheets, ensure leave balances are correct and prepare green-bar for payroll.
  • Requires the ability to use a personal computer to produce correspondence, informational materials, and conduct basic research.Ā 
  • Requires the ability to conduct cost analysis for travel cost comparisons, prepare per diem requests, and compile travel/training itinerary packets. Ā 
  • Requires the ability to conduct fact-finding, research and interviews.Ā 
  • Requires the ability to receive and responds to public inquiry and/or complaints through fact-finding or forward to the appropriate personnel in a professional timely manner.Ā 
  • Requires the ability to maintain confidentiality of private and sensitive information.
  • Requires the ability to maintain productive and cooperative relationships with Council, co-workers, tribal program staff, external organizations, tribal elders and the general public.
  • Requires the ability to provide services that reflect cultural values of the Tribes and membership needs.
  • Requires ambulatory ability to sit for extended periods of time, to utilize microcomputers and peripheral equipment, accomplish other desktop work, and to move to various office and community locations.
  • Requires the ability to use near vision to read printed materials.Ā 
  • Requires auditory ability to carry on conversations in person and over the phone.Ā Ā 
  • Requires the ability to retrieve work materials from overhead, waist, and ground level files.Ā 
  • Requires manual and finger dexterity to write, use a pointing device, and keyboard a an acceptable rate that meets department deadlines and accuracy standards, operate microcomputer, and use other standardized office equipment.
  • Requires the ability to bend, stoop, lift, carry, and move items weighing up to 50 pounds.
  • Requires the ability to safely operate a motor vehicle and ability to drive in adverse weather conditions.
  • Requires ability to travel and work non-standard work hours as assigned or delegated.

Note: Pursuant to Tribal Policy, if this position is safety sensitive it is subject to pre-employment drug testing. In addition, this position is subject to reasonable suspicion and post-accident drug testing.
