Duties and Responsibilities:

We are seeking a highly experienced, proactive Senior Executive Assistant to support the Founder, Adam, across a range of responsibilities including operations, sales, marketing, and personal administration. This is not a task-taking role — we're looking for a sharp, reliable professional who can think independently, offer insights, and serve as an extension of the founder in both strategy and execution.

 

  • Executive Support: Manage the founder’s inbox and calendar, ensuring efficient scheduling, timely follow-ups, and conflict resolution
  • Personal & Team Administration: Handle travel planning, personal bookings, team meeting coordination, and occasional office errands
  • Operations Management: Track inbound leads, manage responses promptly, and maintain organized records of prospects and client interactions
  • Client Engagement: Act in a BDR-style capacity by converting leads, setting up client meetings, and ensuring strong initial engagement
  • Social Media Support: Assist with content creation, basic posting, and coordination for social media channels
  • Process Ownership: Take initiative in improving workflows, anticipating needs, and flagging critical issues or priorities
  • Anticipate needs and raise flags — e.g., if a request conflicts with a key meeting, provide context and alternatives
  • Maintain high standards of discretion, confidentiality, and security in all communications and tasks

 

Minimum Requirements:

Language requirement: Excellent English Communication Skills

Experience: 10+ years of related experience 

 

  • 10+ years of experience as an Executive Assistant or in Operations, ideally supporting founders or C-suite executives
  • Strong background in operations-heavy environments — you’ve handled fast-paced, high-volume task flows before
  • Excellent written and verbal professional communication skills
  • Proven ability to interact with clients and stakeholders at a senior level
  • Experience in client-facing roles, with a proactive approach to converting leads and scheduling meetings 
  • Tech-savvy — comfortable using CRMs, scheduling tools, Google Workspace, Slack, and similar platforms
  • Strong judgment and problem-solving skills; able to anticipate issues and propose practical solutions
  • Trustworthy, discreet, and comfortable handling sensitive personal and business information
  • A self-starter with a strong sense of ownership and the ability to work independently and take initiative
