We are seeking a highly organized and proactive Executive Assistant & Marketing Coordinator to provide comprehensive administrative, marketing, and business development support to the firm’s Principal.
This full-time remote role is structured as a contract position. The successful candidate will manage the executive’s day-to-day operational needs while also coordinating marketing and business development initiatives.
The ideal candidate is detail-oriented, professional, and capable of balancing multiple priorities in a fast-moving, cross-time-zone environment.
Manage the Principal’s daily schedule, travel, meetings, and correspondence.
Prepare agendas, meeting notes, and follow-ups; organize both virtual and in-person meetings.
Maintain and track project files, deliverables, and proposal deadlines.
Handle confidential information with discretion and professionalism.
Support document preparation, proofreading, and formatting for executive review.
Identify, track, and pursue new business opportunities.
Prepare and submit qualifications, proposals, and marketing presentations.
Coordinate outreach campaigns and follow-ups with potential clients and partners.
Maintain CRM records and business development trackers.
Conduct online research on prospective clients, market trends, and competitors.
Develop and update marketing materials (firm profiles, resumes, project sheets).
Manage and curate content for social media (LinkedIn, Instagram, Facebook, X, etc.).
Create and edit visual content using Adobe InDesign, Illustrator, Photoshop, or Canva.
Ensure consistency of branding across all firm communications.
Maintain website content and monitor engagement metrics.
Education:
Bachelor’s degree in Business Administration, Marketing, Communications, or a related field.
Equivalent professional diploma or certification (e.g., CIM, IMM, or Commonwealth-accredited equivalent) will be considered.
Experience:
2–5 years of experience as an Executive Assistant, Marketing Coordinator, or Business Development Assistant, preferably in professional services, construction, architecture, or consulting.
Proven ability to manage both executive administrative functions and business development initiatives concurrently.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop) or Canva.
Familiarity with CRM and email marketing platforms (HubSpot, Salesforce, Mailchimp).
Competence with remote collaboration tools (Teams, Zoom, SharePoint).
Understanding of digital marketing principles and social media analytics.
Excellent written and verbal communication skills in English.
Strong organizational and time-management abilities.
High level of professionalism, confidentiality, and discretion.
Initiative and proactive problem-solving approach.
Ability to manage multiple priorities and meet deadlines.

Ervaring:
2–5 jaar ondervinding as ’n Uitvoerende Assistent, Bemarkingskoördineerder of Sakeontwikkelingsassistent, verkieslik binne professionele dienste, konstruksie, argitektuur of konsultasie.
