We're looking for an innovative Executive Assistant (EA)  to join the CommsHub, a new strategic communications philanthropic fund within the Meliore Foundation. CommsHub seeks to upskill the global climate movement’s strategic communications capacity, in order to build the political will necessary for bold climate action.  Our ideal candidate brings a versatile mix of organizational, communication, and problem-solving skills, and is eager to play a central role in advancing our mission to tackle climate change.
Your primary responsibility will be to support the Executive Director and the Managing Director, while also supporting the wider leadership team as needed. The Executive Director is based in London, where there is a Meliore office, while the rest of the leadership team is located across Europe and the United States. Our ideal candidate is based in London, but may on occasion need some degree of flexibility to accommodate meetings and support needs outside of standard business hours on an ad hoc basis. 
In this position, you will be part of an expanding and dedicated team committed to building an effective and results-oriented programme that will help move the needle on climate change. You will work closely with the Project Coordinator and CommsHub’s leadership team, Operations and Leadership structures across the Meliore Foundation to ensure consistent, high-quality support and excellence across all areas.

How you'll contribute

  • Diary and meetings management: Scheduling meetings, coordinating attendees across time zones, preparing agendas and other supporting materials as needed, securing locations as needed, and effectively handling changes;
  • Oversee the Executive Director’s email inbox, including identifying priority emails and to-dos, ensuring follow-up is completed and drafting responses as needed;
  • Assist in the drafting, formatting and editing of internal documents (e.g. papers, presentations, etc.);
  • Travel & Meeting Logistics: Coordinate and plan extensive international travel for the CommsHub leadership team, and support the organization of in-person team gatherings;
  • Retrieve and process expenses, including invoice management, reviewing budget reports and cost centre approvals where relevant;
  • Provide project support where needed for projects, working groups and events owned and/or contributed to by the CommsHub team;
  • Support other team members as needed with wider adhoc administrative and project tasks (e.g. team meetings, internal communications, event planning, etc.), including the contribution to a standardised delivery of excellence and reliability;
  • Oversee and track actions agreed in meetings, ensuring timely follow-up with team members on deliverables;
  • Maintain regular communication with the CommsHub Steering Committee and address their inquiries promptly;
  • Undertake other reasonable duties as requested.

Our ideal candidate has

  • Relevant work experience as an Executive Assistant or experience in a similar position working for a busy principal or principals, with a proven track record of autonomously managing a complicated schedule, with upward management skills developed in a fast-paced, global, impact-driven environment;
  • The disposition to work generously with colleagues in an international, multicultural community of peers, and the ability to work across international norms and values;
  • The versatile and adaptable skills necessary to flourish in a fast-paced and wide-ranging work environment where remote work is the norm;
  • Proactive and autonomous attitude and approach, creative problem-solving skills;
  • Flexibility to deal with last-minute urgent requests;
  • Excellent communication skills with a good level of English (written and spoken), other languages an asset;
  • Ability to process information and connect dots (lateral thinking);
  • Familiarity with meeting coordination and stakeholder management;
  • Excellent attention to detail, diligence and reliability;
  • The versatile and adaptable skills necessary to flourish in a fast-paced and wide-ranging work environment and work across time zones using tools such as Zoom, Slack, Asana, and email (Google Workspace);
  • Excellent skills in planning and able to take initiative and work independently with a hands-on attitude;
  • Capacity to prioritise and manage own workload;
  • Tactful with colleagues and discrete with high-level information;
  • A significant interest in climate and the environment;
