Bestselling author and renowned researcher is looking for a strategic Executive Assistant to serve as their right-hand. This is a unique opportunity to join a mission-driven team dedicated to unlocking personal transformation. In this role, you will manage an exceptionally busy calendar, serve as primary gatekeeper for scheduling requests, handle email inboxes with discretion, track high-priority projects, support operational meetings, and conduct ad hoc research projects. Someone who brings exceptional organizational skills, high EQ, takes ownership, and is solutions-oriented while remaining calm under pressure. This is a remote role, working PST hours. If located in the Los Angeles/Santa Barbara area, it would be a plus for occasional meet-ups. 140-165K+ DOE + benefits, 401k, accrued PTO, and bonus & profit sharing eligible.

 
Responsibilities:
  • Manage CEO's dynamic calendar, overseeing scheduling requests, communicating changes clearly, and aligning with the Personal Assistant and Executive team to align the calendar.  
  • Monitor the CEO’s task list and ongoing projects, ensuring deadlines and priorities are properly managed.
  • Oversee the CEO’s email inbox with discretion, prioritizing urgent messages and ensuring timely follow-ups. Draft responses maintaining professional communication and collaboration with executives, department leaders, and internal teams, using sound judgment and discretion at all times.
  • Act as a primary point of contact for communications, including emails, phone calls, and messages.
  • Provide meeting support by attending operational meetings with the CEO and capturing detailed notes.
  • Set reminders and manage timelines for key tasks and deliverables.
  • Maintain professional documentation such as bios, resumes, and credentials.
  • Organize, track, and file personal expenses.
  • Support the CEO with social media activity and engagement.
  • Assist with research, personal errands, dictation, and other varied administrative tasks.
Qualifications:
  • 5+ years of experience as an Executive Assistant supporting high-level executives.
  • Excellent verbal and written communication abilities.
  • Discreet and trustworthy with highly confidential information.
  • Well-organized, with superb time management and task prioritization abilities.
  • Able to work independently, take initiative, and manage competing responsibilities.
  • Comfortable managing large volumes of tasks and shifting priorities in a fast-paced environment.
  • Energetic and proactive in approaching new projects and responsibilities.
  • A team player with excellent interpersonal and collaborative skills.
  • Calm, composed, and solutions-oriented under pressure.
  • Strong analytical thinking and relationship-building abilities.
  • Highly motivated, detail-focused, and results-driven.
  • Adaptable, creative, and resourceful in problem-solving.
  • Strong computer skills including Microsoft Office and the ability to adapt quickly to other platforms (e.g., Egnyte, Zoom).
