Virtual Assistant – Property Management Support

We’re looking for a proactive, socially intuitive Virtual Assistant to support a fast-growing property management business based in the U.S. This role combines customer success and administrative support, ideal for someone who thrives in a dynamic environment and knows how to communicate with warmth, professionalism, and confidence.
You’ll work directly with the owner, helping manage tenant communication, vendor coordination, and back-office operations. If you're self-driven, detail-oriented, and naturally proactive, this could be the perfect fit.
Key Responsibilities
Tenant Communication & Support
Respond to tenant inquiries via phone, email, and text
Provide timely updates on maintenance issues and resolutions
Maintain a warm, service-first tone in all client interactions
Administrative & Operational Support
Schedule property maintenance and communicate with vendors
Manage digital files: leases, tenant records, billing documents
Organize inboxes, calendars, and ongoing task lists
Process Improvement & Proactivity
Suggest ways to improve communication and operations
Spot issues before they escalate and take initiative to solve them
Help document SOPs and standardize internal workflows
Ideal Candidate
Location: South Africa preferred (fluent English, strong cultural alignment with U.S. clients)
Experience: 2+ years as a VA, customer success rep, or in a property management/admin role
Communication: Excellent written and verbal English; personable and emotionally intelligent
Proactivity: Independent thinker, problem-solver, and solution-oriented
Tech-Savvy: Confident using Google Workspace, CRMs, and task/project management tools
