We are seeking a highly experienced Senior Executive Assistant to partner with the CEO of Vantage. This role goes beyond traditional administrative work — it requires strategic judgment, anticipation of needs, and flawless execution to ensure the CEO’s time is optimized and priorities are managed. The right candidate thrives in fast-paced, evolving environments and acts as an extension of the CEO in driving alignment across leadership.
Minimum Requirements
- Experience: 8–10+ years supporting C-suite executives (CEO, founder, EVP, or VP), ideally in high-growth or tech-driven companies.
- Industry Background: Strong preference for backgrounds in technology/SaaS, ad tech, finance, telecom, retail, or professional services; proven adaptability across industries.
- Core Competencies:
- Exceptional organizational and time-management skills.
- Strong judgment and discretion with confidential information.
- Mastery of calendar, travel, and meeting management across time zones.
- Advanced proficiency with Gmail, Google Calendar, Google Workspace (Docs, Slides, Sheets), Slack, Zoom, and project/task tools.
- Excellent written and verbal communication skills.
- Operational flexibility beyond traditional EA scope.
- Proactive problem-solving, critical thinking, and attention to detail.
- Trusted relationship-builder with a poised, professional presence.
Role Responsibilities
- Own and protect the CEO’s calendar; prevent conflicts and ensure meetings are purposeful.
- Review, triage, and draft emails; surface urgent and sensitive matters immediately.
- Prepare key documents, presentations, and board materials.
- Manage travel, expenses, and logistics with foresight and accuracy.
- Maintain VIP relationships and proactively plan milestones and communications.
- Support board and leadership projects by coordinating deadlines, materials, and governance tasks.
- Anticipate CEO needs by preparing information, materials, and follow-ups in advance.
- Ensure meetings are set up for success with agendas, pre-reads, and clear outcomes.
- Track and manage key client, partner, and board milestones, including thoughtful gift planning.
- Uphold confidentiality and act as a professional reflection of the CEO and company.
- Drive alignment across leadership by ensuring priorities and commitments are followed through.
- Draft and manage internal communications on behalf of the CEO, ensuring clarity, consistency, and discretion.
- Lead the end-to-end process of preparing board decks, from collecting and tracking inputs to refining, formatting, and delivering final materials.
