About the Position

The Executive Assistant will provide high-level administrative, operational, and project support to the Managing Director of Trellis Climate. This role also provides dedicated administrative support to the full Senior Leadership team, including the Chief Executive Officer, Chief Operating Officer, Chief Growth Officer, and Chief Program Officer. The ideal candidate will be an exceptional problem-solver, a master of time management, and possess an innate ability to anticipate needs and act with a high degree of independence. This role requires the utmost discretion and professionalism, as the assistant will be privy to confidential information and sensitive matters.

Job responsibilities include, but are not limited to:

Administrative Support to Managing Director of Trellis Climate: 50%

  • Manage and maintain a complex calendar, including scheduling meetings, events, and travel.
  • Arrange and manage all aspects of travel, including flights, hotel accommodation, and ground transportation.
  • Prepare and edit correspondence, presentations, reports, and other documents for internal and external use.
  • Conduct research and compile data to prepare for meetings and special projects.
  • Coordinate and organize all logistics for meetings, including scheduling, agenda preparation, minute-taking, and follow-up on action items.
  • Assist the Trellis team in scheduling and logistics for team retreats.
  • Anticipate and prepare the Managing Director for all meetings, providing necessary materials, background information, and context.
  • Participate as a core member of the Trellis team, including at Trellis team meetings and in-person events (minimal travel, roughly quarterly).

Administrative Support to Senior Leadership Team: 50%

  • Arrange and manage all aspects of travel, including flights, hotel accommodation, and ground transportation for the senior leadership team.
  • Prepare detailed itineraries and travel agendas for the senior leadership team.
  • Support the development and maintenance of operational workflows and systems to improve efficiency.
  • Support the Manager of Executive Office with task and project management on key projects and initiatives, ensuring deadlines are met and stakeholders are kept informed.
  • Remotely support logistics for Prime events, team off-sites, and senior leadership off-sites.
  • Submit and reconcile expense reports in a timely and accurate manner for the senior leadership team.
  • Review and submit invoices in a timely and accurate manner.
  • Update shared drive, reports, and other related documents in support of the Finance & Operations team.

Qualifications

Education & Experience

  • Bachelor’s Degree or equivalent work experience
  • Previous experience as an executive assistant with a high level of responsibility
  • Excellent organizational skills
  • Proficiency with G-Suite (especially Gmail, Google Docs, Google Sheets, and Google Slides), Microsoft products (especially Word, PowerPoint, and Excel), Adobe, Asana, and Slack
  • Familiarity with additional software platforms and the ability to come up to speed on new ones quickly
  • Proficient with creating and managing project budgets, specifically travel and events
  • Willingness to work occasionally in both Pacific and Eastern time zones (core hours 11 AM - 3 PM EST)
  • Proficient in accounts payable and expense report software (Nexonia)
  • Comfortable working in a fully remote environment
