Position Overview:
The client: A fast-growing, multi-location support firm that partners with moving and home service companies across the U.S. We’re looking for a sharp, reliable Executive Assistant to support the owner of one of our top clients in the moving and mobile storage space. This is a dynamic, high-trust role for someone who can think ahead, keep operations tight, and ensure the owner stays focused on growth.
You’ll be the right hand in managing schedules, streamlining communication, overseeing container delivery workflows, and assisting with business development. Key Responsibilities:
1. Administrative Support
Manage and triage the owner’s email inbox (color-coded by priority)
Draft, edit, and organize outgoing messages and follow-ups
Maintain and update the daily/weekly calendar with reminders and task deadlines
Coordinate meetings with team members, vendors, and sales prospects
2. Container Division Support
Monitor and respond to emails from mobile storage customers regarding delivery windows and routing
Create simple route plans for container drivers
Log, escalate, and track operational issues from drivers or customers
Assist with developing SOPs for dispatching and delivery workflows
3. Reporting & CRM Oversight
Pull backend reports from SmartMoving (training provided)
Track sales leads, appointment confirmations, and follow-ups
Assist with weekly and monthly performance reporting
Spot-check CRM data to ensure accuracy and consistency
4. Business Development Support
Conduct outreach prep and research for real estate partners in Charleston and surrounding markets
Schedule and confirm in-person or virtual meetings with Realtors and referral sources
Maintain and update contact lists for all referral relationships
5. Process Development
Help build internal SOPs and recurring task templates
Keep documentation clean and up to date
Participate in the rollout of new tools, platforms, or upgraded processes
What We’re Looking For:
Clear Communicator – Excellent verbal and written English communication skills, with the ability to manage inboxes, send polished messages, and represent the company well.
Organized and Efficient – You love structure, systems, and making sure nothing slips through the cracks.
Proactive and Self-Directed – You take ownership of your role, ask the right questions, and stay two steps ahead without being micromanaged.
Tech-Friendly – Comfortable with Gmail, Google Calendar, and CRM systems (SmartMoving experience is a bonus but not required).
Experienced in Support Roles – Bonus if you’ve supported business owners, managed fast-moving calendars, or worked in operational environments.
