Overview:

We are seeking a highly organized and experienced Virtual Executive Assistant with hands-on property management experience—specifically with AppFolio software—to join our team. This role requires someone who can hit the ground running, follow established procedures, and communicate effectively with tenants and vendors. If you do not have AppFolio experience, please do not apply, as this is a strict requirement.


Key Responsibilities:

Work Order Management:

  • Monitor, assign, and follow up on maintenance work orders.
  • Ensure prompt communication with tenants regarding updates and resolutions.
  • Log every communication and update accurately into AppFolio.

Tenant Communication:

  • Handle inbound and outbound communications with tenants using provided scripts and templates.
  • Manage inquiries, complaints, and requests professionally and in a timely manner.
  • Ensure that all interactions are documented with detailed notes in AppFolio.

Process Management:

  • Follow step-by-step internal SOPs (Standard Operating Procedures) without deviation.
  • Adhere strictly to timelines for move-ins, move-outs, lease renewals, notices, and inspections.
  • Keep all documentation, communications, and updates well-organized and up-to-date in the system.

Data Management:

  • Upload and manage tenant, lease, and vendor documents in AppFolio.
  • Ensure that all entries are accurate and up to date.
  • Track deadlines and ensure no task falls through the cracks.


Required:

  • Proven experience in Property Management, specifically in a virtual or remote role.
  • Strong command of AppFolio software (this is a non-negotiable requirement—no training will be provided).
  • Excellent written and verbal communication skills in English.
  • Experience working with tenants, vendors, and maintenance coordination.
  • Strong attention to detail and ability to follow directions precisely.
  • High level of accountability and responsiveness.
  • Ability to work independently and prioritize tasks based on urgency and importance.

Desired (but not required):

  • Experience working with U.S.-based property management companies.
  • Familiarity with lease agreements, notices, and compliance-related documents.
  • Understanding of real estate or rental housing regulations (local knowledge a plus).
