DESCRIPTION OF WORK: The position reports to the Executive Director of the State Board and supports board activities by coordinating the monthly meetings and committees of the NC State Board of Community Colleges (SBCC). State Board Meetings and Coordination: This includes meetings onsite in Raleigh or within North Carolina at one of the community college campuses. The position coordinates State Board meeting activities, including meeting logistics (meals, catering, contracts, travel), materials, supplies, speakers, guests, and technology. Responsibilities include working closely with the NC Community College System (NCCCS) staff to prepare and distribute meeting agendas, materials, and minutes to State Board members and System Office staff. The position also posts all relevant meeting materials on the System Office website for public access. The position ensures that State Board meetings and committees comply with public meeting laws; State Board members have virtual access to meetings and committees; and State Board meetings and committees are live-streamed. Internal Operations, Technology Systems, and Office Management: The position manages the day-to-day operations and technology systems of the State Board Office. This includes utilizing technology tools such as Microsoft Office (Word, Excel, PowerPoint, Outlook, and Teams), virtual communication tools (Teams, Zoom, and YouTube), DocuSign, Adobe Pro, and other technology tools as needed. The role is responsible for document management, data tracking and reporting, maintaining files, correspondence, and administration of an electronic filing system and website for efficient retrieval. Event Planning and State Board Office Travel Arrangements: This position coordinates events hosted by the State Board or involving its members, including those held on community college campuses or with partner organizations. The position is responsible for arranging travel and reimbursements for State Board members, the Executive Director, and others as needed. Staff Assistance: The position assists the Executive Director in achieving the goals of the State Board Office. The position serves as the staff assistant to the Executive Director and to the State Board Chair, officers, and committee chairs as needed. For all areas of responsibility, the Operations Coordinator will work to simplify information, procedures, and communications to increase efficiency and effectiveness.
