We are looking for an Executive Assistant to support our client full-time, working closely with several executives to drive a multi-state licensing initiative while keeping day-to-day operations running smoothly. What you will do:

  • Lead the research behind a multi-state reciprocal licensing process, identifying requirements, deadlines, and documentation for each state.

  • Prepare and file applications, then own the follow-up and tracking until every license is approved and current.

  • Build and maintain trackers in Excel to keep multiple parallel processes visible and under control.

  • Support ongoing business development activities with scheduling, documentation, and administrative follow-through.

  • Coordinate meetings and calendars across several executives, anticipating conflicts before they happen.

  • Handle light data entry and a variety of ongoing administrative tasks to ensure smooth daily operations.

What you must have:

  • Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role.

  • An advanced English level, with excellent written and verbal communication skills.

  • Strong proficiency in Excel.

  • Exceptional organizational skills and the ability to manage multiple ongoing processes simultaneously.

  • A self-motivated approach and the ability to work independently with minimal supervision.

  • High attention to detail, especially when handling documentation and deadlines.

A great plus:

  • Experience supporting more than one executive at a time.

  • Familiarity with licensing, compliance, or other application-driven administrative processes.

  • Experience assisting with business development or sales operations teams.

  • A proactive mindset and the ability to anticipate needs before being asked.
