About the Role

We are looking for a highly organized, proactive, and experienced Executive Assistant to support our executive team. This is a remote role open to candidates based in the United States or Canada. If you're a strong communicator, skilled at managing competing priorities, and thrive in a dynamic environment, we’d love to hear from you.

As an Executive Assistant, you’ll work closely with senior leadership to ensure smooth day-to-day operations, support critical projects, and help the team stay focused on strategic goals. The ideal candidate is detail-oriented, adaptable, and confident in managing a wide variety of tasks with professionalism and discretion.

Responsibilities

  • Manage complex calendars, coordinate meetings across time zones, and proactively resolve scheduling conflicts.

  • Draft and manage professional correspondence, including emails, memos, and internal documents.

  • Make travel arrangements and manage logistics, including flights, hotels, itineraries, and expenses.

  • Attend and document key meetings, capturing action items and ensuring timely follow-ups.

  • Support and coordinate cross-functional projects, taking ownership of tasks, tracking timelines and resources, and ensuring deliverables move forward.

  • Conduct research, gather data, and prepare summaries or briefing materials for executive use.

  • Prepare and format documents, presentations, and reports.

  • Handle confidential information with a high degree of integrity and discretion.

  • Support a wide variety of business needs, adapting quickly as priorities shift.

What We’re Looking For

  • 5+ years of relevant professional experience, ideally including 2+ years in an Executive Assistant or equivalent role (e.g., Office Manager, Project Coordinator, or similar) providing high-level support to senior leadership or key personnel.

  • Based in the United States or Canada.

  • Comfortable working in a fast-moving startup environment where roles flex to support growth.

  • Demonstrated ability to manage diverse responsibilities and multiple projects simultaneously.
    Excellent written and verbal communication skills in English.

  • Highly organized with strong attention to detail.

  • Proficient in Google Workspace, Slack, and project/task management tools.

  • Self-starter comfortable working independently in a fully remote setting.

  • Strong problem-solving skills and the ability to anticipate needs.
