Position Summary
The Executive Assistant to the Chief Development Officer provides high-level administrative and strategic support to advance the mission and fundraising goals of March of Dimes. Requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced nonprofit environment. The Executive Assistant serves as a key liaison between the CDO, internal teams, donors, board members, and external stakeholders.
Key Responsibilities
Executive Support
- Manage the CDO’s calendar, including scheduling meetings, donor engagements, travel, and events
- Exercising independent judgment in managing priorities and resolving scheduling conflicts
- Prepare and coordinate materials for meetings, presentations, and reports
- Draft, proofread, and manage correspondence on behalf of the CDO
- Prioritize and manage incoming communications, ensuring timely follow-up
- Manage deadlines
Development & Donor Relations Support
- Assist in coordinating donor meetings, cultivation events, and stewardship activities
- Maintain donor records and support data entry in CRM systems
- Help prepare donor briefings, proposals, and acknowledgment letters
- Track fundraising activities, deadlines, and key metrics
Revenue Reporting & Communications
- Compile, manage, and distribute regular revenue reports (weekly, monthly, quarterly) for the CDO and leadership team
- Track fundraising performance against goals, identifying variances and flagging risks or opportunities
- Coordinate with finance and development teams to ensure accuracy and alignment of revenue data
- Prepare dashboards, summaries, and visual reports for internal and board presentations
- Draft and disseminate revenue updates and insights to internal stakeholders, ensuring clarity and consistency in messaging
- Support forecasting processes by gathering data and maintaining up-to-date reporting tools
Project & Operations Coordination
- Support execution of development initiatives and campaigns
- Coordinate cross-functional projects with internal departments
- Monitor project timelines and ensure deliverables are met
- Assist with budget tracking and expense reporting
Board & Stakeholder Engagement
- Coordinate logistics and materials for board meetings and committees related to development
- Ensure confidentiality and professionalism in all interactions
- Navigating sensitive information and situations with diplomacy and sound judgement
Administrative Duties
- Arrange travel accommodations and itineraries
- Process expense reports and invoices
- Maintain organized filing systems (digital and physical)
- Support additional administrative tasks as needed
Qualifications
Required:
- Bachelor’s degree or equivalent experience
- 3–5+ years of executive administrative support, preferably in a nonprofit or development setting
- Strong organizational and time management skills
- Excellent written and verbal communication abilities
- High level of discretion and professionalism
- Proficiency in Microsoft Office Suite and Microsoft programs. Advanced excel including pivot tables and data analysis, PowerPoint, and CRM systems (e.g., Salesforce). Concur experience a plus.
- Experience working with data, reporting, or financial/revenue tracking
Preferred:
- Experience supporting senior executives in fundraising or nonprofit development
- Familiarity with donor management and stewardship processes
- Experience creating reports, dashboards, or data visualizations
- Event planning or coordination experience
