Overview
We are seeking a proactive, detail-oriented Executive Assistant to support a growing business with essential administrative and client communication tasks. Key Responsibilities:
Phone Management & Soft Sales
- Answer incoming calls with professionalism and warmth
- Mention ongoing specials or promotions (soft sales approach)
- Capture and record caller information accurately
- Direct calls or messages to the appropriate team members as needed
Text Message Lead Handling
- Monitor and respond to incoming leads via SMS
- Engage leads with friendly, timely responses
- Qualify and distribute leads to the right team members
Lead Management & CRM Updates
- Pull new leads from platforms such as GoHighLevel
- Input and update lead data in the CRM system
- Ensure all leads are properly tracked and assigned
Data Entry & Bookkeeping Support
- Assist with updating customer and project records
- Perform light bookkeeping tasks using QuickBooks
- Maintain organized digital files and data for reporting

- Salesforce / Hubspot
- 1+ years of experience as a Virtual Assistant, Executive Assistant, or similar role
- Comfortable with phone communication and soft sales conversations
- Familiarity with CRM platforms (e.g., GoHighLevel or similar)
- Basic knowledge of QuickBooks or willingness to learn
- Reliable internet connection and quiet work environment
- Communication Skills: Exceptional written and verbal communication.
