The Executive Assistant (EA) provides high-level administrative support to executive leadership, ensuring the smooth, efficient, and confidential operation of daily business activities. This role manages complex calendars, coordinates executive communications, prepares strategic materials, and serves as a critical liaison between leadership, internal teams, and external partners. The ideal candidate is proactive, detail-oriented, highly organized, and able to anticipate needs in a fast-paced, evolving environment.
Executive Support
•    Manage complex and dynamic calendars, scheduling meetings, travel, and events with minimal conflicts.
•    Prepare follow-up notes and support documentation ahead of critical meetings.
•    Ability to work on presentations and prep for internal and client meetings.
•    Maintain strict confidentiality of sensitive organizational and personal information.
•    Assist with project tracking, status updates, and operational initiatives as directed by leadership.
•    Support invoice processing, and vendor coordination if applicable
•    Serve as a professional, polished representative of executive leadership with internal and external stakeholders.
•    Liaise between executives, leadership teams, and departmental contacts to ensure alignment and timely follow-through.
•    Build strong relationships across the organization to anticipate needs and streamline communication flow.
•    Assist with planning and execution of strategic initiatives, leadership meetings, and special projects as needed.
•    Coordinate with HR, Finance, Operations, and other departments as needed.

Qualifications
•    Bachelor’s degree preferred; equivalent experience accepted.
•    3+ years of experience supporting senior or executive-level leaders.
•    Exceptional organizational, prioritization, and time-management skills.
•    Strong written and verbal communication abilities.
•    High level of discretion and professionalism; able to manage sensitive information.
•    Advanced proficiency in Microsoft Office Suite, Teams, SharePoint, and project-tracking tools.
•    Ability to operate effectively in a fast-paced, ambiguous environment with shifting priorities.
