Executive Assistant Jobs

Job Description:

The Executive Assistant will act as a strategic partner and force multiplier for the President of Provider Solutions, VP of Sales, and VP of Provider Growth — three leaders driving Phreesia’s growth, execution, and market strategy. This role sits at the intersection of operations, go-to-market execution, and organizational alignment, helping to streamline priorities, communication, and accountability across the executive team.

You won’t just manage schedules; you’ll manage impact. By optimizing workflows, coordinating key initiatives, and enabling clarity across teams, you’ll help these leaders focus on scaling strategy, revenue, and operational excellence.

This is not a traditional administrative role. The EA will operate as an essential business partner—driving coordination, ensuring flawless execution, and serving as a connective hub between leadership and the broader organization.

What You'll Do

Executive Support & Strategic Alignment

  • Amplify executive effectiveness by managing calendars, communications, and strategic priorities across the President, Sales, and Marketing functions.
  • Prioritize time and focus—filtering inputs, triaging decisions, and enabling leaders to stay centered on strategic initiatives, not administration.
  • Prepare executives for key internal and external meetings, including board updates, client reviews, investor sessions, and operational performance briefings.
  • Support enterprise-level priorities such as annual planning, OKR tracking, and key strategic projects led by the President.

Operational Coordination & Project Management

  • Partner with the President on company-wide operating rhythms—leadership meetings, quarterly business reviews, and all-hands sessions.
  • Coordinate executive deliverables related to board materials, operational scorecards, and executive communications.
  • Track and ensure accountability on critical initiatives—monitoring progress, flagging risks, and ensuring cross-functional follow-through.
  • Facilitate cross-department collaboration, ensuring alignment between Operations, Product, Finance, and Commercial teams.

Sales & Marketing Enablement

  • Drive alignment between Sales and Marketing, coordinating meetings, campaign reviews, and GTM planning cadences.
  • Support pipeline and performance reviews, ensuring data accuracy, timely follow-up, and clear next steps.
  • Prepare and refine high-impact presentations, including QBR decks, client materials, and strategic updates.
  • Accelerate execution speed by coordinating initiatives that cross departments—reducing friction and improving decision velocity.

Communication & Execution Excellence

  • Craft and refine executive-level messaging, including communications to leadership, staff, and external stakeholders.
  • Represent the executives with professionalism and discretion in all interactions—serving as a trusted extension of the leadership team.
  • Plan and manage logistics for travel, offsites, and team events that build engagement and alignment across the company.
  • Leverage AI tools (ChatGPT, Copilot, Notion AI, etc.) to automate workflows, summarize meetings, and optimize documentation.

What You'll Bring

  • Bachelor’s degree or equivalent experience in executive support, operations, or business management.
  • 3–5 years supporting senior executives, ideally across Sales, Marketing, and Operations in a high-growth SaaS or healthcare environment.
  • Proven experience supporting a COO, President, or C-level leader with exposure to board reporting, financial tracking, and company-wide planning.
  • Mastery of Microsoft 365, and familiarity with CRM and analytics tools (Salesforce, HubSpot, Power BI).
  • Demonstrated ability to anticipate needs, manage competing priorities, and maintain composure under pressure.
  • Superior written and verbal communication skills—able to translate complex information into clear, concise executive summaries.
  • High integrity, sound judgment, and discretion when managing confidential or sensitive information.
  • A proactive, resourceful, and process-minded approach with a bias toward clarity, organization, and execution.

Why This Role Matters

  • Multiplies executive capacity—freeing ~1,500 hours annually across three senior leaders
  • Increases operational efficiency by ensuring initiatives are tracked, decisions documented, and teams aligned.
  • Improves execution velocity across Sales, Marketing, and Operations through proactive coordination and follow-through.
  • Enhances organizational alignment by driving cross-functional clarity and communication between revenue and operations.
  • Brings operational discipline and leverage to the executive office, enabling the President and commercial leaders to stay focused on growth, strategy, and scalability.
