The CEO Office is seeking an Executive Assistant to support the CEO, Chief of Staff, and the director level at Recare. The role is deliberately split evenly between two areas of responsibility and offers the opportunity to develop a generalist profile, work closely with the company's top management, and gain interdisciplinary insights from all departments.

This role is deliberately divided equally into two areas of responsibility. It offers you the opportunity to develop a generalist profile, work closely with the company's management, and gain insights into all areas of the company.
Area of responsibility 1: Administrative ownership of the CEO Office (approx. 50%)
Direct support to the CEO
- Complete calendar and appointment management
- Planning and organization of business trips
- Coordination of external appointments and events in collaboration with the marketing team
- Taking on smaller operational tasks (research, document creation, external communication)
Strategic support of the Chief of Staff / Authorized Signatory
- Operational support for strategic projects, management formats, target tracking and decision-making processes
- Support with communication initiatives (e.g. all-hands meetings) as well as with the preparation and follow-up of management meetings
- Maintenance and quality assurance of central knowledge databases (Notion) and contract databases (Contract Hero) in cooperation with the General Counsel
- Planning and implementation of management events (“Admin Weeks”, Management Retreats, etc.)
Area of responsibility 2: Administrative & operational support of the director level and the organization (approx. 50%)
Support for the management team
- Administrative support of the four Directors (Product, Tech, Revenue & Growth, Finance) in their day-to-day business
- Organization of team events, sprints, and cross-departmental initiatives.
Note: This is not a traditional secretarial role—the directors manage their own calendars. However, you will centrally organize and quality-assure joint leadership formats and strategic initiatives.
Company-wide administrative coordination
- Contact person for CEO and Chief of Staff availability as well as organizational coordination throughout the company
