About the Role

  • Check and collect company mail 2–3 times per week from designated location(s)

  • Sort, organize, and scan incoming mail; distribute digitally to appropriate employees

  • Monitor and check the company voicemail regularly; transcribe and route messages to the relevant team members

  • Perform general administrative support tasks as needed, including but not limited to:

  • Data entry

  • Document preparation and filing

  • Scheduling or calendar coordination

  • Maintain confidentiality and handle sensitive information with discretion

  • Communicate effectively with internal teams to ensure smooth flow of information

  • Provide flexible support and adapt to changing administrative needs

About You

  • Proven experience in an administrative, executive assistant, or office support role

  • Strong organizational and time management skills

  • High attention to detail and accuracy in handling mail and messages

  • Ability to maintain confidentiality and handle sensitive information discreetly

  • Proficient in using office equipment (scanner, voicemail systems, etc.) and digital tools (e.g., email, PDFs, Microsoft Office or Google Workspace)

  • Excellent written and verbal communication skills

  • Self-motivated and able to work independently with minimal supervision

  • Reliable transportation for regular mail pickups (if offsite)

  • Comfortable with flexible, task-based work schedule (approx. 2–3 times per week)

  • High school diploma or equivalent required; additional administrative training or certifications a plus

  • Live in or in proximity to Oakland, California
