We are hiring for an experienced Executive Assistant to join The Better Information Project (TBIP), a new and ambitious team within the Meliore Foundation.
TBIP’s mission is to create a revitalised and resilient information ecosystem in Europe. We are working to tackle the structural power of Big Tech and enable the regulatory and enforcement conditions for policymakers, civil society, and entrepreneurs to develop and scale alternatives to the prevailing model.
The Executive Assistant is a newly created role, designed to provide high-level administrative support to two senior leaders at TBIP: our Executive Director and Advocacy Director.
In this role, you will be at the heart of enabling our senior leadership to operate at their highest capacity — navigating competing priorities, streamlining diaries and workload, and ensuring seamless coordination across internal teams and with external stakeholders. You’ll be part of a small but mighty team working across Europe, and will report to the Operations & Project Manager.

How you'll contribute
- Deliver high-level executive support, including proactive calendar and inbox management across multiple time zones with professionalism, efficiency, and discretion.
- Coordinate international travel logistics, including itineraries, bookings, and preparation for speaking engagements and convenings.
- Track, collate, and process expense reports on behalf of the Executive Director and Advocacy Director.
- Triage and process operational requests, including approvals for expenses, contracts, leave, and other admin matters.
- Work with the Operations & Project Manager to support on meeting preparation and follow-up: secure bookings, organise dial-ins, draft agendas, compile briefing documents, record key actions, and ensure timely follow up.
- Work with the Operations & Project Manager to help ensure the leadership team runs smoothly, maintaining clear oversight of its priorities, the programme’s activities, and team capacity.
- Work with the Project and Operations Manager to provide operational and logistical support for events, team retreats, conferences, and meetings as needed.
- Maintain knowledge management systems and file organisation to support information sharing and internal processes across the team.
- Carry out additional responsibilities as required by the leadership team.
Our ideal candidate has
- Proven experience in a similar Executive Assistant or administrative role, ideally within a mission-driven organisation, supporting senior leadership across time zones.
- Strong organisational and time-management skills, with the ability to prioritise, manage multiple tasks simultaneously, and remain calm under pressure.
- Excellent written and verbal communication skills, with a strong sense of professionalism, tact, and diplomacy.
- A high degree of discretion and trustworthiness in handling sensitive information.
- Strong technical proficiency with tools such as Google Workspace, Microsoft Office, and scheduling/project management platforms.
- A team player attitude, with a collaborative and solutions oriented mindset!
- A genuine interest in TBIP’s mission and in the wider conversations around technology, regulation, and democratic resilience in Europe.
- Fluency in English is required; additional European languages are an asset.
- Based in Europe and able to work within ±2 hours of GMT.
