Job Description:

Join Job Duck as an Executive Assistant – Bilingual and become an integral part of a dynamic team dedicated to supporting educational programs and organizational excellence. In this role, you will manage critical administrative processes, streamline workflows, and ensure smooth communication between students, parents, and internal stakeholders. Your ability to work independently, think proactively, and create efficient systems will make a significant impact on daily operations. This position is ideal for someone who thrives in a fast-paced environment, enjoys building relationships, and has a passion for organization and technology.

Salary Range: 1,060 to 1,150 USD

Responsibilities include, but are not limited to:

  • Provide forms and documents to new students.

  • Review applications and payments for accuracy.

  • Create and manage social media accounts

  • Oversee marketing and social media for select programs

  • Create forms, templates, and instructional content (videos, PDFs, guides).

  • Manage systems and perform administrative tasks.

  • Train students on Microsoft Teams and MS365 tools

  • Develop SOPs, workflows, and guides independently.

  • Build and maintain relationships with parents and customers.

  • Schedule and document meetings with external departments, ensuring follow-up on action items

  • Answer phone calls and provide timely assistance.

  • Manage intake process, including VOIP system setup.

  • Handle email communication with prospective students.

  • Organize and maintain policy documentation.

Requirements:

Required Skills 

• Advanced proficiency in Microsoft Teams, Planner, and MS Office Suite
• Strong organizational and time-management skills
• Excellent written and verbal communication skills in English and Spanish
• Ability to work independently with minimal supervision
• Tech-savvy and adaptable to new systems
• Experience in administrative roles (10+ years preferred)
• Background in educational or school settings is a plus
• Creative and detail-oriented mindset

Additional Job Description 

• Location: Remote support for Frederiksted, Virgin Islands
• Office Hours: 9:00 am – 6:00 pm EST (flexible hours)
• Time Zone: EST
• Software/Tools: Microsoft Teams (administrative level), Planner, MS Office Suite, SharePoint, Outlook

Work Shift:

9:00 AM - 6:00 PM [EST][EDT] (United States of America)
