Job Description

This is a remote position.

Virtual Rockstar is hiring a Medical Virtual Assistant on behalf of a physical therapy practice to support insurance eligibility verification, benefit interpretation, prior authorization management, and administrative coordination to ensure smooth billing and care operations. This role is ideal for someone with strong insurance experience, clear communication skills, and the ability to follow through from start to finish.

This established physical therapy practice provides personalized, one-on-one care focused on helping patients move better, recover from injury, and return to an active lifestyle. The team emphasizes individualized treatment plans, transparent communication, and a patient-first approach across multiple clinic locations. Supporting patients in understanding their insurance benefits and coverage is a key part of delivering a seamless and positive care experience.

Key Responsibilities

Insurance Eligibility & Benefits Verification

  • Verify insurance eligibility and plan benefits for new evaluations, progress notes, and upcoming appointments
  • Identify coverage details including copays, deductibles, visit limits, and out-of-pocket expectations
  • Independently determine when prior authorization is required

Prior Authorization & Follow-Up

  • Manage and follow up on pending authorizations with payers
  • Obtain physician signatures for plans of care requiring authorization
  • Maintain detailed logs of authorization status and outcomes

Physician Office & Documentation Coordination

  • Communicate with physician offices regarding unsigned evaluations and required documentation
  • Process and prioritize incoming faxes and referrals throughout the day
  • Handle medical record requests and workers’ compensation documentation
  • Maintain accurate contact logs and authorization tracking

Reporting & Team Communication

  • Update weekly clinic scorecards and productivity reports
  • Provide consistent communication updates to front office and leadership teams

Requirements

Insurance Verification Experience

  • Prior experience verifying insurance benefits
  • Strong understanding of physical therapy coverage (copays, deductibles, visit limits)
  • Ability to independently identify when prior authorization is required
