This is a remote position.
A schooling group based in California, United States, seeks a highly organised, proactive, and tech-savvy Executive Assistant to provide direct support to the CEO/Founder in managing a fast-paced organisation.
Owing to the time zone difference, this role's working hours are 5:30 PM to 12:30 AM South Africa Standard Time (SAST), plus 2 hours in the early morning (SAST) for coordination and follow-ups.
This role requires excellent planning ability, clear communication, sound judgment, and the confidence to manage both people and projects effectively.
The ideal candidate is a strategic doer — someone who keeps the CEO focused, ensures priorities are met, and maintains momentum across multiple initiatives. You'll thrive in a dynamic environment and be equally comfortable handling details and managing systems. This role will suit a mature person with an A-type personality.
Key Responsibilities
• Executive & Email Management:
Manage the CEO’s inbox, schedule, and daily communications. Prioritise urgent items, ensure timely responses, and maintain a clear communication flow.
• Project & Task Coordination:
Track active projects, monitor deliverables, and follow up with staff to ensure goals and timelines are met.
• Internal Communication:
Liaise between the CEO and directors, prepare meeting agendas, capture decisions, and ensure consistent follow-through.
• Organisation & Systems:
Build and maintain systems to streamline operations — including task tracking, shared drives, and workflow dashboards.
• Software & AI Integration:
Quickly learn and apply new software platforms and AI productivity tools (such as Notion, ClickUp, ChatGPT, Google Workspace automations, etc.) to improve efficiency.
• Confidentiality & Professionalism:
Handle sensitive communications and internal information with complete discretion and tact.
This is more than a diary management role. You'll be in the driver's seat, managing and directing the CEO's day.
