Our Newest Opportunity: 

The EA/Office Manager manages the daily operations of the office, providing clerical, administrative, and time management support, as well as assists other leadership members and company executives, as needed. 

Essential Duties and Responsibilities (include but are not limited to):

  • Completes a broad variety of administrative tasks including: managing an extremely active calendar of appointments, completing expense reports, composing and preparing correspondence that is often confidential; arranging complex and detailed travel plans.
  • Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the President’s time and office.
  • Prioritizes and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature.
  • Works closely and effectively with leadership to keep him well informed of upcoming commitments and responsibilities.
  • Acts as a “barometer”, having a sense for the issues taking place in the environment and keeping the President updated.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Assists in coordinating the agenda of senior management team meetings and off-sites.
  • Oversees all practical arrangements for executive meetings, (room arrangements, catering needs, etc.). 
  • General office management including:
  • Manages the day-to-day operations of the office.
  • Manages support services department and team members.
  • Receives and interacts with incoming visitors, clients and guests.
  • Interacts with internal staff at all levels.
  • Assists with various HR matters and other duties as assigned.

Qualifications, Skills and Requirements:

  • Poised and confident individual with excellent writing and interpersonal skills.
  • Must be able to effectively prioritize multiple tasks, meet short deadlines and take direction well.
  • Must be able to coordinate multiple schedules and produce accurate work despite frequent interruptions.
  • Possess the ability to perform assigned duties with minimum supervision.
  • Have strong attention to detail and accuracy.
  • Must be able to adapt and function well in fast-paced environment.
  • Must be able to maintain confidentiality at all times and with unquestionable integrity.
  • Ability to build strong professional relationships with stakeholders, including staff and external partners.
  • Demonstrated proactive approaches to problem solving, with strong decision-making capability.
  • High emotional maturity.
  • Ability to perform well within a team as well as independently.
  • Advanced proficiency in Microsoft Office.

Education, Training and Experience:

  • 3+ years of experience supporting Executive and C-Suite professionals, required; 5+, preferred.
  • Bachelor’s Degree, preferred.
  • Management experience, preferred.
  • Experience handling sensitive and confidential matters.
