This is a remote position. You can work from home and be located anywhere in France

 

Role Overview
The Executive Assistant provides high-judgment, proactive support to Senior Executives, enabling them to operate effectively in a fast-paced, global environment. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs, manage complexity, and adapt quickly as priorities evolve.
As a trusted partner and key point of contact, the Executive Assistant interacts confidently with executives, internal teams, and external stakeholders, handling sensitive information with professionalism and sound judgment.

Key Responsibilities

  • Manage complex, dynamic calendars for Senior Executives, balancing competing priorities, timezones, and shifting business needs.
  • Plan and coordinate end-to-end executive travel, including flights, accommodations, ground transportation, and schedule optimization.
  • Prepare, submit, and reconcile executive expense reports, ensuring accuracy, compliance, and timely processing.
  • Manage and prioritize executive inboxes and communications
  • Coordinate customer briefing materials with account teams to ensure executive readiness for meetings.
  • Coordinate meeting scheduling with external stakeholders and aligning calendars with internal senior leaders.
  • Serve as a trusted liaison between Executives and their leadership teams, always maintaining confidentiality and exercises discretion.
  • Anticipate challenges, identify risks, and proactively resolve issues before they impact executive effectiveness. Assist with additional administrative, operational, and coordination tasks as required to ensure executive effectiveness

 

Experience & Qualifications

  • Post-secondary diploma or degree in a related field, or equivalent professional experience.
  • 5+ years of progressive Executive Assistant experience, including direct support of senior leaders or C-level executives.
  • Proven experience coordinating complex, multi-leg travel in a fast-moving environment.
  • Strong problem-solving and decision-making skills, with the ability to assess urgency and prioritize effectively.
  • Clear, concise, and professional written and verbal communication skills suitable for executive-level audiences.
  • High degree of comfort managing ambiguity, frequent change, and multiple inputs simultaneously

  • Professional, approachable, and trusted; consistently demonstrates sound judgment and integrity.
  • Builds strong working relationships and internal networks to enable effective execution.
  • Thrives in a fast-paced, high-pressure environment with shifting priorities.
  • Advanced proficiency in Microsoft Office, particularly Outlook.
  • Experience with Concur or similar travel and expense tools is an asset.
  • Experience supporting multiple leaders and managing competing demands.
