We are looking for an Executive Assistant to join our UK & Ireland Sales Team!

Supporting our Senior Director of Sales for the Curtiss-Wrights Defense Solutions Sales Team, you will provide advanced administrative and business management support while remaining involved in the business and acting as a true ambassador inside and outside of the company.

Your Challenge:

  • Diary Management: Day-to-day management of senior team member diaries; Issuing calendar invites and agenda, both internal and external to the organization; Entering team holidays and travel commitments in to shared business calendar.
  • Communication Support: Replying to emails internally and externally on behalf of the Senior Sales Director and other senior members of the team, acting as a customer liaison as required for coordination of meetings etc.
  • Travel Support: Booking flights, cars, hotels through our internal SAP Concur system and liaising with external travel consultants.
  • In Person Team Meeting Logistics: Organizing of and participating in team meetings in various locations off-site (UK, Europe); this entails booking hotels, meeting rooms, flights, transportation, restaurants etc.
  • External Trade-Show Support: Coordinating of travel logistics and periodic in-person attendance; managing to within a defined budget (E.g. Eurosatory Paris, DSEI London, Paris Airshow)
  • Expense Processing: Support for expense reporting; Input and approval of expenses through SAP Concur
  • Shipping Arrangements: Arranging shipping for the UK based team for goods going out and coming back in to the country (In partnership with our designated shipping agents), creating commercial invoices, packing lists etc.
  • Procurement Support: Ordering goods/items (electronic parts)business cards etc from external companies, i.e. Amazon, DigiKey etc.
  • Budget Management Support: Creating reports on costs incurred for periodic management review; E.g. Consultants costs, travel costs etc.
  • HR Logistics: On boarding and off boarding new joiners and leavers to/from the International Sales team.
  • Holiday Tracking Support: Logging holiday entitlement (Workday system), entering holiday and time of the team whilst they have travelled over a weekend on business, (incurring time) input into Workday system; Holiday tracking.
  • Team Sharepoint Management: Supporting the maintenance and upkeep of a Sharepoint on behalf of the Sales Team
  • General Administrative Support: To include (But not limited to) vendor set-up, invoice processing, purchasing, holiday logging using internal systems such as CW Pay, SAP, Workday, Concur, Proforma, CWCIAM, Zycus purchasing system.
  • Sales Support: From time to time, providing customer support in the form of sending customer quotes or generating forecast reports for management review; will require a working knowledge of CRM

What You Bring:

  • Post-secondary education in a business-related field, with a minimum of 5 years previous experience of support at the senior or executive level.
  • Ability to anticipate and take independent action on handling requests; determine the appropriate course of action, intervene where necessary.
  • Proven experience in preparing documents and presentations.
  • Professional demeanor and trustworthy in handling highly confidential information.
  • Experience working in a fast-paced and demanding environment
  • Superior organization skills with high attention to detail
  • Exceptional written communication skills.
  • Proficiency in Microsoft products: PowerPoint, Excel, Word, Outlook, Teams, Dynamics; SharePoint, Concur and CRM familiarity is desirable
