About the Role: We are seeking a mid-to-senior Executive Assistant / Operations Manager to support a fast-growing digital content entrepreneur. The position is the operational backbone of a rapidly scaling content ecosystem and may evolve into a Chief of Staff within 3–5 years.
The ideal candidate is AI-native, a critical thinker, highly organized, and capable of managing inbound communication, agency coordination, and content workflows while representing the executive's voice authentically.
Key Responsibilities:
1. Executive Support (Scheduling & Logistics)
- Manage complex calendars across time zones
- Plan and coordinate travel
- Filter and respond to emails, LinkedIn, and YouTube messages
- Identify high-value communications (~50+ emails/day, 280+ LinkedIn requests/week)
- Represent the executive professionally in their personal voice
2. Communications Filtering & Judgment
- Distinguish noise from real opportunities (mentorship, CEOs, investors, meaningful outreach)
- Draft and send responses aligned with brand tone (humble, thoughtful, mission-driven)
3. Agency Oversight & Content Pipeline
- Serve as main contact for creative agencies
- Ensure deadlines, quality, and continuous improvement
- Review scripts, videos, thumbnails, and research prompts
- Approve and publish content when executive is unavailable
4. AI Research & Workflow Automation
- Conduct AI-driven research and data synthesis
- Implement workflow automations
- Use AI tools (GPT, Gemini, Claude, Perplexity) with prompt engineering
- Advanced AI methods will be trained
5. Content & Community Management
- Manage newsletters, email campaigns, and community messages
- Draft content summaries and ensure consistent messaging
Qualifications:
- 3–6+ years of EA or Operations Manager experience
- Strong business acumen and ability to operate in high-growth, ambiguous environments
- Entrepreneurial mindset; judgment-first approach
- Exceptional English communication, written and verbal
- Mature thinker with high emotional intelligence
- Mission-driven, service-oriented, calm and compassionate
- Experience coordinating multiple teams (agency, editors, boards)
- Flexible work hours with 3–5 hours overlap with EST
