The Position:

As part of the Centralized Patient Access team, the Specialty Data Entry Clerk is responsible for accurate and timely entry, routing, and processing of referrals and referral related documents, with a primary focus on the specialty line of business. This role plays a critical part in ensuring that all referral-related documents are properly scanned, uploaded, and routed to the appropriate teams within defined service level agreements (SLAs), supporting seamless workflow and high-quality patient care coordination. 

Responsibilities Include:

  • Enter new referrals promptly and accurately into the Electronic Medical Record (EMR) system, including verification of patient demographics, insurance details, and referral data, to ensure compliance with service level agreements (SLAs).
  • Manage the tracking, routing, and updating of existing patient files to reflect changes in insurance, therapy, or orders.
  • Monitor and manage shared email inboxes, responding to and routing email requests in a timely and professional manner.
  • Scan, index, and process incoming faxes and emails, ensuring timely routing to appropriate teams in accordance with service level agreements (SLAs).
  • Manage outbound fax communications and ensure timely delivery of documents to customers and providers.
  • Answer and direct incoming calls in a professional and courteous manner as needed. 
  • Handle sensitive and confidential information with discretion and professionalism.
  • Support general administrative functions and perform other duties as assigned to ensure smooth daily operation.

Schedule:

  • Standard business hours Monday-Friday 8:30am-5pm Pacific Time Zone, 40 hours per week.

Requirements

  • Infusion experience required.
  • High school diploma or equivalent. 
  • Proven experience as an administrative assistant, office assistant, or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and exercise discretion.
  • Strong interpersonal skills, with the ability to interact effectively with colleagues, clients, and visitors.
  • Ability to work independently with minimal supervision and as part of a team.
  • Flexibility and adaptability to changing priorities and work environments.
